Interview Hub provides software and services that help publicists, agencies, media organizations, journalists, producers, talent and other media professionals publish and discover opportunities, manage requests, coordinate interviews, track outreach and report activity. This policy explains what information we collect, how we use it, and the choices you have when you use Interview Hub websites, software, embedded Interview Hub pages, forms and related services.

01 Information we collect

Account information
Name, email address, company or organization, job title, account credentials, subscription information and other information you provide when creating or managing an Interview Hub account.
Organization information
Agency, company, newsroom or media organization information, team members, branding, company descriptions and configuration information used to create and operate your Interview Hub.
Opportunities & submissions
Interview opportunities, talent information, pitches, press releases, source information, assets, availability, descriptions and other material submitted to Interview Hub.
Media requests
Information submitted by journalists, producers, editors and other media professionals when requesting interviews or responding to opportunities, including name, outlet, email address, message and scheduling information.
Outreach activity
If you choose to use outreach-tracking features, we may process information you send or forward to an Interview Hub tracking address, including sender information, recipient information, subject line, date and other information needed to associate the outreach with a client, opportunity or report.
Uploaded outreach information
If you upload a press list or other outreach record for reporting purposes, we may process professional contact information contained in that file in order to record and report the outreach you performed.
Workspace activity
Saved items, assignments, status changes, internal notes, requests, scheduling activity, reporting activity and other actions performed within your organization's Interview Hub workspace.
Usage data
Search and browsing activity, pages and product features used, IP address, device or browser type, timestamps and similar technical information used to operate, secure and improve the service.
Payment information
Subscription and transaction information. Payment card information is processed by our payment providers, including Shopify and Stripe. Interview Hub does not store full payment-card numbers on its own servers.
Communications
Messages you send to Interview Hub, customer-support communications, responses to forms and other communications made through the service or connected integrations.

02 Customer & organization data

Organizations that use Interview Hub may provide information about their clients, talent, employees, media contacts, journalists, producers, pitches, opportunities and other professional relationships.

Interview Hub processes this information to provide the services requested by that organization, including publishing opportunities, routing media requests, tracking outreach, coordinating interviews and generating reports.

Customers are responsible for ensuring that information they submit, upload, forward or otherwise provide to Interview Hub may lawfully be used for the purposes for which they provide it.

Interview Hub is not intended to function as a public database of customer press lists or private media relationships. Information provided for private outreach tracking, internal notes or client reporting is used to provide those services and is not automatically made public.

03 How we use information

  • Create and administer Interview Hub accounts and organization workspaces.
  • Publish and distribute interview opportunities, source information, releases and other media opportunities.
  • Power customer Interview Hub pages and embedded versions of those pages on customer websites.
  • Allow journalists, producers and other media professionals to request interviews and communicate with the appropriate publicist or organization.
  • Route requests, notifications and scheduling information to the appropriate organization or team member.
  • Support newsroom workflows such as saving, assigning and privately annotating opportunities.
  • Track outbound media outreach when a customer chooses to submit, upload, forward or BCC outreach information to Interview Hub.
  • Associate outreach, requests and interview activity with the appropriate client or opportunity for reporting purposes.
  • Generate customer, client and internal reports based on activity recorded through Interview Hub.
  • Send operational emails such as account notices, request notifications, scheduling notices, billing notices and product-use reminders.
  • Send newsletters and marketing communications where permitted and provide unsubscribe controls for promotional messages.
  • Improve search, recommendations, workflow automation, reliability and product functionality.
  • Detect, prevent and respond to spam, fraud, security threats and abuse.
  • Comply with legal and regulatory obligations.
What we don't do: We don't sell personal information and we don't use customer outreach lists, internal notes or private client activity for cross-context behavioral advertising.

04 Public & private information

Some information is intended to be public. For example, an organization may choose to publish interview opportunities, releases, talent information or other media materials through Interview Hub or through an Interview Hub page embedded on its own website.

Other information is intended to remain within an organization's workspace. This may include internal notes, assignments, reporting information, unpublished opportunities and outreach activity.

Media requests are shared with the organization or publicist responsible for the relevant opportunity so that the request can be reviewed and handled.

05 Third-party processors

We use third-party service providers to operate Interview Hub. Depending on the features you use, these providers may process information on our behalf.

  • Shopify Website, commerce and subscription services
  • Stripe Payments and billing
  • Supabase Application database and backend services
  • Cloudflare Hosting, delivery, security and bot protection
  • Typeform Forms and submissions
  • Zapier Workflow automation
  • Formspree Form and email relay
  • Algolia Search
  • Google Workspace Email, documents and business operations

We may add or replace providers as the service evolves. Providers may process information only as necessary to provide services to Interview Hub and subject to their applicable contractual and legal obligations.

06 Cookies & security tools

We use essential and functional cookies and similar technologies to operate Interview Hub, maintain sessions, understand product usage and protect the service.

We may use security tools such as Cloudflare Turnstile to identify automated traffic and protect public forms, account registration and other parts of Interview Hub from spam or abuse.

We do not use third-party advertising cookies for cross-context behavioral advertising.

07 Automated processing

Interview Hub may use automated systems to organize information, improve search, recommend relevant opportunities, identify spam or abuse and assist with workflow tasks.

For example, automated systems may attempt to associate an inbound request or outbound pitch with an existing client, talent profile or opportunity. When a match cannot be determined reliably, we may ask the user to confirm or select the appropriate record.

We may introduce artificial-intelligence-assisted features that help customers search, summarize, organize or draft content. Where appropriate, we will provide additional information about how those features process customer data.

Automated systems assist users and our team but are not intended to make legal, employment, credit or similarly consequential decisions about individuals without human involvement.

08 Data retention

We retain personal information for as long as reasonably necessary to provide Interview Hub, maintain business and transaction records, comply with legal obligations, resolve disputes and protect the service.

The length of time information is retained may depend on the type of information and the customer's account status.

Customers and individuals may contact us to request deletion of personal information, subject to legal, contractual and operational retention requirements.

09 Your rights

  • Request access to personal information we maintain about you.
  • Request correction of inaccurate personal information.
  • Request deletion of personal information where applicable.
  • Request a portable copy of information where applicable.
  • Unsubscribe from promotional emails at any time.
  • California residents may exercise rights available under applicable California privacy law. Interview Hub does not sell personal information or share it for cross-context behavioral advertising.

To exercise a privacy right, email hi@interviewhub.co. We may need to verify your identity before completing a request.

If your information was submitted to Interview Hub by an agency, newsroom, employer or other customer, we may direct your request to that organization when it controls the relevant information.

10 Legal basis (EU/UK)

Where the GDPR or UK GDPR applies, we may process personal information based on consent, performance of a contract, compliance with legal obligations and our legitimate interests in operating, securing and improving Interview Hub and facilitating professional communications between PR and media.

Where Interview Hub processes personal information on behalf of an organization using our software, that organization may determine the applicable legal basis for that processing.

11 International transfers

Interview Hub and its service providers may process information in the United States and other countries.

Where legally required, international transfers are protected through recognized safeguards such as Standard Contractual Clauses or other approved transfer mechanisms.

12 Security

We use administrative, technical and organizational safeguards appropriate to the nature of the information we process. These may include access controls, authentication, encrypted communications, security monitoring, anti-abuse protections and restricted access to production systems.

No method of transmission or electronic storage is completely secure. If a security incident requires notification under applicable law, we will provide the required notice.

13 Children

Interview Hub is a professional service and is not directed to children under 13, or under a higher minimum age where required by applicable law. We do not knowingly collect personal information from children through the service.

14 Changes & contact

We may update this Privacy Policy as Interview Hub and its services evolve. Material changes will be posted here and, where appropriate, communicated through the service or by email.
